Handling of Personal Information in the Wakuwaku Japan Service

 Nippon Travel Agency Co., Ltd. (hereinafter referred to as ‘the Company’) handles personal information provided in connection with the Waku Waku Japan Service (hereinafter referred to as ‘the Service’) provided by the Company as follows.

 The definitions of terms are as follows.

 (1) “Member” refers to an individual who has registered as a member of the Wakuwaku Japan Service.

 (2) “Recruiting Companies, etc.” refers to corporations, organisations or individuals that use the Service to post job vacancies and recruit job seekers.

 (3) “Partner Companies, etc.” refers to corporations, organisations or individuals that partner with the Company to provide various services related to or incidental to the Service. This includes services such as Japanese language learning, residence status applications, lifestyle support, cultural exchange support, vocational training, and other support services relating to the employment and daily life of foreign workers.

 2. Acquisition and Use of Personal Information 

 Personal information provided will be used only to the extent necessary to achieve the purposes set out in Section 3. Should it become necessary to use such information beyond the scope of these purposes, we will contact (notify) the member concerned and obtain their consent.

 Please note that if you do not provide your personal information, there may be services that you will be unable to use.

 3. Purposes of Use of Personal Information 

 (1) Purposes of Use of <Member Personal Information>

 We will use the personal information provided by members for the following purposes.

 ・Management of member information: To manage member information

 ・Identity verification: To use in authentication procedures for verifying the identity of members

 ・Provision of job listings: To display appropriate job listings based on members’ skills, experience and preferred conditions

 ・Application procedures: To submit applications and provide information to recruiting companies, etc., based on the member’s consent

 ・Support for recruitment procedures: To provide information and support regarding recruitment procedures conducted with recruiting companies and other organisations

 ・Provision of career support services: To support members’ career development by providing information on career counselling, vocational training, lifestyle support, Japanese language learning, and applications for residence status, etc.

 ・Distribution of notices and information: To distribute service information, event and seminar details, campaign information, etc., from our company (including information regarding services operated by partner companies, etc.)

 ・Provision of candidate information to recruiting companies and partner organisations: To facilitate candidate matching by publishing attribute information (such as residence status, Japanese language proficiency and desired job type) – excluding personal information that could easily identify an individual, such as name and contact details – on this service, or by providing such information to recruiting companies and partner organisations, based on the member’s consent

 ・Requests for cooperation with questionnaires and surveys: To conduct surveys and analyses aimed at improving the service

 ・Analysis of usage: To analyse service usage and compile statistical data

 ・Handling enquiries and consultations: To respond to enquiries and consultations from members

・Prevention of and response to fraudulent activities: To implement measures for the detection and prevention of fraudulent activities

 (2) Purposes of use of <personal information of recruiting companies, etc.>

 We will use the personal information provided by recruiting companies and similar entities for the following purposes.

 ・Management of information regarding recruiting companies, etc.: To manage information regarding recruiting companies, etc.

 ・Posting of job vacancies: To post job vacancies on this service based on information from recruiting companies, etc.

 ・Matching with members: To provide appropriate member information based on the skills and requirements sought by recruiting companies, etc.

 ・Support for recruitment procedures: To provide information and support regarding the selection of applicants, interviews and recruitment decisions

 ・Distribution of notices and information: To distribute information such as service guides, seminar and event details, and industry trends to recruiting companies and other organisations

 ・Requests for cooperation with questionnaires and surveys: To conduct surveys and analyses aimed at improving the service

 ・Analysis of usage: To analyse the usage patterns of recruiting companies and others, and to compile statistical data

 ・Handling enquiries and consultations: To respond to enquiries and consultations from recruiting companies and other organisations

 ・Prevention and response to fraudulent activities: To implement measures to detect and prevent such activities

 4. Provision of Personal Information to Third Parties
We will provide the personal information registered by members to the recruiting companies to which the member applies (excluding details that would enable direct contact between the member and the recruiting company,such as phone numbers or email addresses).

  2. In addition to the preceding paragraph, for the purpose of facilitating talent matching, we may provide information from a member’s registration details—such as residence status, Japanese language proficiency and desired job type—to recruiting companies and partner companies via methods including written documents and email (e.g. newsletters). (This excludes information such as telephone numbers and email addresses that would enable direct contact between the member and the recruiting companies or partner companies.)

 3 We will not provide personal information to third parties without the individual’s consent, except in the following cases:

 ・Where required by law

 ・Where necessary to protect human life, physical safety, property, etc.

 ・Where necessary for the improvement of public health or the promotion of the sound development of children

 ・Where it is necessary to cooperate with national agencies, local authorities or their authorised representatives in the performance of duties prescribed by law

 5. Outsourcing of Personal Information 

 We may outsource all or part of the operations involving the handling of personal information entrusted to us to third parties. We select contractors in accordance with certain criteria, enter into contracts regarding the protection of personal information, including confidentiality, and exercise necessary and appropriate supervision over them, such as by regularly verifying that the outsourced personal information is being managed securely.

 6. Joint Use of Personal Information 

 We will jointly use the personal information you have provided (such as your name, address, telephone number and email address) for the purposes of providing business information from our company and group companies, sending invitations to seminars, and for business operations. The personal information subject to joint use will be managed under the responsibility of our Personal Information Protection Manager (or their representative).

In such cases, we will take the necessary measures without delay in accordance with laws and regulations and our company policies. Furthermore, should we be unable to comply with all or part of your request, we will explain the reasons for this.

 10. Governing Law of this Service (Website) 

 Although this Service (Site) can be accessed from countries worldwide where laws differ, the use of this Service (Site) shall be governed by the laws of Japan. Consequently, access from regions where the content on this Service (Site) is illegal is prohibited.

 11. Governing Law and Jurisdiction 

 In the event of a dispute concerning the handling of personal information, the Tokyo Summary Court or the Tokyo District Court shall be the court of first instance with jurisdiction.

 12. Amendments 

 In order to ensure the thorough protection of customers’ personal information, or to comply with changes in laws, regulations or other standards, we may amend our Basic Policy on the Protection of Personal Information and the “Handling of Personal Information in the Wakuwaku Japan Service”. Any amendments will be announced on this Service (Site).
